How to organize receipts for taxes

A year of paper, phone photos, and emailed PDFs. The accountant asked for a spreadsheet, not IMG_4812.JPG × 200. This is the pile, the columns, and what to do when a slip is gone. It is not tax advice. Ask the person who signs the return.

How to organize a year of receipts

One folder named for the year. Dump every photo, PDF, and scan into it. Photograph any remaining paper before the thermal fades. One spreadsheet: date, vendor, total, category. Keep that folder next to the sheet for as long as the IRS periods say. You do this in March, or you do it every Friday. The pile is the same.

What receipts you need for Schedule C

Schedule C instructions (2025) tell you to keep records that substantiate the numbers. Publication 583 is the list of supporting documents: sales slips, paid bills, invoices, receipts, deposit slips, canceled checks. The law does not require a particular app. It requires a system that clearly shows income and expenses.

For each deductible expense, the support is: who you paid, the date, the amount, and what it was for. Meals, supplies, software, a county property-tax bill, an emailed Stripe invoice — same box.

Two things that are not the shoebox. Car and truck expenses have their own substantiation on the form; see Publication 463. Business use of home is Form 8829 or the simplified method. DropSheet does not do mileage or square footage.

Bins that match the return

Schedule C Part II is the real list: advertising, car and truck, commissions, contract labor, insurance, interest, legal and professional, office, rent, repairs, supplies, taxes and licenses, travel, deductible meals, utilities, wages, other. You do not have to recreate the form in a folder. You do have to be able to get from a pile of slips to those lines.

A freelancer’s working sort is coarser: meals, groceries, gas, travel, office, medical, other. The accountant maps “office” onto line 18 and “other” onto software or the property-tax PDF. Totals by category are what they asked for. Columns on the spreadsheet page.

Photos vs paper

Paper is fine until it isn’t. Thermal slips go grey. Publication 583: electronic copies are allowed if you can produce sufficient legible records to support the return. Photograph the whole slip — vendor, date, total, line items if they matter — while you can still read it.

Keep the photos in the year folder. The spreadsheet is the index, not the substitute. If a row looks off, they will ask to see the image.

Expenses under $75, and deducting without a receipt

Publication 463, for travel, gift, and car expenses: you generally need documentary evidence — receipts, canceled checks, or bills. Exception: documentary evidence isn’t needed if the expense, other than lodging, is less than $75. You still record the date, place, amount, business purpose, and who was there. Lodging still needs a receipt.

There is no IRS list of “expenses you can deduct with nothing.” A card statement proves you paid a payee on a date. It does not prove the lunch was with a client. When the slip is in your hand, photographing it is cheaper than reconstructing it.

I lost my receipts

Start with copies, not estimates. Ask the vendor. Open the bank or card account and download the year. Publication 583: if you do not have a canceled check, you may be able to prove payment with certain financial account statements that show the check number, amount, payee, and date — or, for a card, the amount, payee, and transaction date.

That proves the payment. You still have to know what it was for. Calendar notes, emailed invoices, and a reprint from the store are better than a guess. Do not fill a spreadsheet with numbers you cannot support.

Type the total if you still remember it. Keep the photo anyway. A grey rectangle in April is why you shoot the slip on Tuesday. The filename does not matter. The year folder does. Two hundred JPEGs with no sheet is what they already told you not to send.

Receipt organization for a small business

Same pile as a freelancer, plus whatever the books already catch. If expenses already live in the business account, the shoebox is the cash and the personal-card charges you still need to code. One year folder. One sheet. Categories the accountant can map onto Schedule C or the books. Payroll, inventory, and mileage stay in their own records.

How a freelancer actually tracks this

Weekly is better than April. Same method either way: photos into the year folder, rows on the sheet, category as you go. Do not open QuickBooks for a pile this size unless you already live there. Do not upload the pharmacy receipt to a cloud scanner so you can “deal with it later.”

At year-end you should be able to answer four questions about each row: when, who, how much, what for. If you cannot, fix the row before you send the file.

What to hand over

Excel or CSV with date, vendor, total, tax if it printed, category. A By category sheet so meals and gas and office are not a sort job. The year folder of photos if they ask. Topic 305 and How long should I keep records? are the clock, not this paragraph.

What expenses can I deduct without a receipt?
The IRS does not publish a list of deductions that skip substantiation. The $75 exception above still needs your own record of date, place, amount, and purpose. A bank or card statement can prove you paid someone; it does not prove the business purpose by itself.
I lost my receipts. What do I do?
Ask the vendor for a copy. Pull the bank or card statement for the charge. Publication 583 says certain account statements can prove payment when you do not have a canceled check. You still need to know what the charge was for. Do not invent a shoebox.
The receipt faded and I can’t read it.
Type the total if you still remember it. Keep the photo. Photograph thermal paper the day you get it. You cannot reconstruct a slip you never shot.
How do I track business expenses as a freelancer?
Same pile, all year. Drop photos as they come in, or one afternoon in March. Categories: meals, gas, travel, office, other. Hand the spreadsheet over. Mileage is a log, not a receipt pile.
